A Peek Inside My Daily ClickUp Routine

At DaSilva Life, you know we’ve got a soft spot for ClickUp! But really, can you blame us? It’s one of our favorite tools because of all the ways it can effortlessly help you manage your team, your workload, and keep things running smoothly with whatever you’ve got in the pipeline.

You may have heard how ClickUp can help you with those big tasks, but today, we want to give you a look inside my (hey — Kristi here!) daily clickup routine. Because it’s IN that routine that I’m able to keep things in my business running smooth like butter!

This routine keeps me AND my team organized, in the know, and set up to do our best work possible.

ClickUp Routine Step #1: Morning & Evening Check-In Tasks

The first thing I do in ClickUp every day is check my task list. And I do this in both the morning and in the evening before I log off. It gives me the rundown of what needs to be done day-of and gives me an idea of what’s in store for the next day.

And while things are subject to change, it’s always nice to be in the loop!

For each task check-in, I have both a client and admin check-in. During both check-ins, I can see my tasks, and I have quick links to what needs to get done. This usually takes me about 45 minutes per day, both morning and evening!

And one of my favorite things about ClickUp is features like the everything calendar view (which is what I primarily use to get this initial check-in done). You can see ALL of your tasks in one place and color code them accordingly for better tracking. Perfect for creating and maintaining priorities!

ClickUp Routine Step #2: Check ClickUp Inbox

The next step is to check my inboxes. I group this with other platforms, too, because it’s not very time-consuming. I’ll take a beat to check in on:

  • HoneyBook
  • Systems School
  • All email inboxes across DaSilva Life (my personal email, admin/hello/support accounts)
  • Slack
  • ClickUp calendar

And of course, my ClickUp inbox is directly INSIDE of ClickUp. So it is super simple to get all of this done in just a few minutes. For the most part, everything is right where I need it, when I need it.

This is a new feature that came from the ClickUp 3.0 release, and I have to say, I’m a HUGE fan! It helps minimize notifications so that you either have messages or activities. Which makes it SO MUCH easier to sort through what needs action from you, and what are just updates on tasks and projects.

ClickUp Routine Step #3: Check in on team & tasks

In addition to checking what’s on my plate, part of my ClickUp routine is reviewing what’s on my team’s plate!

It’s important to do this every day because it helps me, as the business owner, make sure everything is running smoothly, isn’t in danger of being late, and most importantly…that my team isn’t overwhelmed.

Ultimately, this helps you be more realistic about what you can and can’t take on as a business capacity-wise.

Inside ClickUp, there are three views you can use to check in on this:

  • The Box View: Great for when you want to get an idea of what’s going on with each member of your team. You’ll see a snapshot of how many tasks are assigned to each person and the status of each one!
  • The Timeline View: If you’re more of a visual person, you’ll love this view! It shows you the task load in a timeline view, and from there you can see what’s overlapping to determine capacity or urgency of projects and adjust accordingly.
  • The Workload View: This is my favorite! It gives you the weekly, daily, and hourly rundown of your team’s workloads and capacity. Plus, you can see time estimates and project tasks.

Adding this to my daily routine has been super helpful for DaSilva Life as a business overall — not just for me as a business owner. It’s something I highly recommend for anyone!

ClickUp Routine Step #4: Dive into tasks

All in all, this routine helps me check in on client projects, make sure no one on my team is overwhelmed, and get a pulse check on what’s going on in the business as a whole.

What I like most about this routine is that I am able to first be a project manager.

I get a better assessment and understanding of what’s going on during the day, and how my team and I may need to shift accordingly. (As an online business owner, you know things are bound to pop up!)

And once I have this knocked out of the way, I’m able to dive into my task load for the day!

I know a routine like this can feel a bit redundant, but it’s important that you set aside enough time for check-ins and task management. Because without it, you spend A LOT of time ping-ponging between tasks, emails, Slack notifications, Voxer messages, etc.

And that is bound to break your focus!

It’s much more efficient the batch those admin tasks and then dive into your work rather than doing it all ad hoc. (Plus — it makes for better work, too since you can give it your full attention!)
