The Best Ways to Use ClickUp’s Calendar View

No matter what type of business you run, job you have, or industry you work in, having a calendar is crucial for operations and staying on task. Kristi here, and I am a self-proclaimed nerd for all things organization, especially when it comes to my calendar. So, it’s no surprise that I actually have and manage a few different calendars: primarily through ClickUp and Google Calendar.

But why? And what’s the difference?

In ClickUp, I use my calendar to manage all things DaSilva Life: client tasks, project tasks, business tasks, and any other business-related task you can think of. And yes, I even use ClickUp to organize my personal life.

In Google, I use this calendar to structure my daily schedule and events: time blocks, CEO time, responding to emails, lunch breaks, client calls, and anything else that comes up.

On the surface, having these two calendars for different reasons seems, well, reasonable. But when it comes to managing them, it gets a little redundant juggling both of them and constantly toggling back and forth.

The ‘Everything Calendar View’ in ClickUp

The Everything Calendar View is my all-time favorite ClickUp View. That’s because it:

  • Shows all the ClickUp tasks I have assigned to me
  • Color-codes tasks based on status
  • Allows me to easily move tasks as needed
  • Helps me schedule specific times to complete ClickUp tasks
  • Shows my overall workload, so I don’t get burnt out
  • Lets me see my teammates’ capacity and workloads too

To set this calendar view up, I make sure that I apply specific settings, including:

  • Filter assignee to just me
  • Show subtasks
  • Priority
  • Tags

This way, I can see subtasks of parent tasks, and I know the priority of each. If we have specific tags attached to tasks, those will also appear in my calendar.

Within this calendar view, you can also see your tasks by day, week, or month to help you better plan and organize your workload. And as I mentioned above, you can also drag your tasks to different days. The best part? It automatically updates the dates in your task lists, so you don’t have to do it manually!

Finally, if you want to get more granular with your task planning, you will absolutely love this feature. If you are in a daily or weekly view, you will see your tasks at the top of each day. From there, you can drag them to specific times of the day, which helps with time blocking and keeping you on track.

Pro tip: I create an ‘Everything View’ Calendar for every team member, so both they and I can see what everyone is working on. This way, we can help everyone manage their workloads and determine what their future capacity looks like!

Syncing your ClickUp Calendar with your Google Calendar

A lot of business owners manage different calendars through different tools. Instead of juggling back and forth, why not have them in one place? The solution to that: Integrations!

For me personally, syncing my ClickUp and Google Calendars has eliminated so much back and forth. That’s because I can see all of my events and tasks in the same place.

Pro tip: When you sync your ClickUp and Google calendars, you will be able to see all of your Google events in ClickUp. However, you also have the option to see all of your ClickUp tasks in Google.
