How to Use ClickUp in 2023

With every new year comes a new set of goals, aspirations, visions…and everything in between. And while we’re all for that kind of ambition, sometimes it’s better to take a step back, slow down, and get back to basics.

First up for us: A re-introduction to ClickUp!

Whether you’ve used ClickUp in the past or you are brand new to ClickUp, we are sharing all the amazing ways you can use this project management tool to organize and change your business for the better in 2023.

Task management

One of the primary functions of ClickUp is to manage all of your business tasks (and personal ones, too!). Within each of your dashboards, you can easily create and populate task lists and assign statuses to each, like ‘To-Do,’ ‘In Progress,’ and ‘Complete.’ To further organize your tasks, you can add additional details, like:

  • Assignee
  • Due Date
  • Priority
  • Custom Fields (more on that below!)

To get a holistic view of all of your tasks, use Calendar View so you can see what’s coming up in the days and weeks ahead!

Project management

In addition to task management, ClickUp is also the perfect system for project management. The easiest way to use this feature is to group every project by phases, then populate tasks and statuses within each of those.

But if you’re not even sure what those phases and tasks look like, we highly suggest doing workflow mapping first. This is the process of going through every type of project or process you do for your business and mapping out every single step and task from start to finish. Workflows can also help:

  • Organize your business
  • Boost productivity
  • Eliminate efficiencies
  • Manage team members
  • Forecast future resourcing
  • Client onboarding
  • And so much more!

Once you map out your workflows (with the help of our Workflow Mapping Template), you can confidently manage all of your projects inside ClickUp!

Data reporting

If one of your goals for 2023 is to track your sales, you can do it right inside ClickUp! In fact, you can build an entire sales tracker and use Zapier integrations to pull data from several different payment processors. Once you’re collecting all the necessary data, you can transform your numbers into dashboards to better track:

  • Total sales
  • Individual sales (from each of your different offers)
  • Payments
  • Gross income
  • Net income
  • Sales and revenue goals
  • And anything other data points you want to track for the new year!

Staying consistent

One of the most common things we hear from business owners is how hard it is to stay consistent with ClickUp after it's set up. We’ve been there, too!

Inside ClickUp, we have two recurring tasks every day: AM check-in and PM check-in. We typically set aside an hour for each, and use this time to “check in” across everything we use for our business, like:

  • HoneyBook* (our go-to CRM)
  • New leads
  • Calendars
  • And more!

Now, we don’t use this time to dive into extra work – we simply create new tasks where necessary based off of those check-ins. This way, we start and end each day knowing exactly what to expect and feeling confident that we didn’t forget anything along the way!

My favorite ClickUp tips for 2023 (and beyond)

To make the most of ClickUp, here’s a look at some of our all-time favorite tips for you to carry through 2023 (and beyond)!

Using custom fields

When you create ClickUp tasks, they will be populated with standard fields like Assignee, Due Date, and Status. With custom fields, you can create extra data points you want to track for each task.

For example, we use ClickUp to manage our YouTube Workflows, but we need to track each of our tasks with more specific details. Using custom fields, we add details like:

  • Film date
  • Publish date
  • Notes
  • Link to folder within Dropbox (where we save all of our video content)

Favorites bar

ClickUp requires a lot of toggling back and forth – typically to the same items every day. That’s where the Favorites Bar comes in! With it, you can pin anything within ClickUp, including:

  • Tasks
  • Documents
  • Lists
  • Folders
  • Spaces
  • Dashboards
  • And anything else!

To populate your Favorites Bar, simply click on the three dots next to any item, then select ‘Add to Favorites.’ And if you want to access your favorites instantaneously, simply pin them to the top of your left-hand menu!

Minimizing tasks

Another way to organize tasks within ClickUp is with something called a Task Tray. Think of it like different windows and tabs within your web browser: When you minimize a task in ClickUp, it will go to your Task Tray until you’re ready to hop back in! This is especially helpful if you’re a multitasker.

Slash commands

Want to do something within ClickUp without, well, clicking around? Meet your new best friend, the forward slash /. Whenever you click into a task, description, doc, or note, you can simply type / and a list of suggestions will pop up to help you organize your text, like:

  • Tables
  • Banners
  • Templates
  • Checklist
  • Bulleted List
  • Columns
  • And so much more!

Search function

Want to find something within ClickUp without, well, searching around? Meet your second new best friend: Command ⌘ + K! By selecting the Command ⌘ button and the letter K, a search bar will appear, allowing you to search anything within ClickUp, like tasks, dashboards, and more!

If you’re a PC user, use Ctrl + K to make the magical search bar appear!
