It’s absolutely no secret that I’m obsessed with all things ClickUp. It’s not only my go-to project management system – it’s what I used to operate 95% of my entire business. Everything from projects and tasks to client onboarding and team applications, it’s all possible thanks to ClickUp! More specifically: ClickUp Views.
If you’ve ever used (or tried to use) ClickUp Views, you know that there are a lot to choose from, and it can be overwhelming, to say the least. But that’s why I’m here!
Watch the video below to get an introduction to ClickUp Views, or keep reading to get a quick breakdown of each, and how you can use them for your business!
At the most basic level, ClickUp Views are different ways of viewing data within ClickUp. Whether you’re working within Spaces, Folders, or Lists, all of the View options within ClickUp simply let you see all of that information in lots of different ways – some more helpful to specific projects, wants, and needs.
Here’s a look at some (not all!) of the Views within ClickUp:
As I mentioned above, a lot of these views work best for specific workflows. For example:
This is typically a default view within ClickUp, and lets you organize tasks by category, priority, status, and more! Think of this as your digital to do LIST.
Board View is a kanban style view that allows you to see your task cards in this board view from left to right.
Want to zoom out to 100 feet? Calendar View it is! Just as it’s described, this view lets you see all of your tasks in calendar style with due dates.
Psst! This is my all-time favorite view in ClickUp!
I usually describe List View, Board View, and Calendar View as the ‘standard’ or ‘basic’ views within ClickUp.
If you have projects or tasks with a lot of dependencies, Gantt View is perfect for bringing that vision to life. And if you need to reschedule even just one item within your project or tasks list, everything else will adjust automatically!
Together, these three views are amazing for future capacity planning and managing workloads. If you feel like you don’t have a good grasp of what workloads and capacities across your team look like, you’ll love Timeline, Box, and Workload Views.
In this view, you can see a timeline of anyone’s given tasks throughout the week or month, so you know who’s working on what – and when.
If you need a quick, snapshot look at the number of tasks each member of your team has – including how many are done and not done – Box View is a great way to see everything at once.
This is one of my personal favs! Workload View allows you to see everyone’s workload at an hourly, daily, weekly, and monthly snapshot. For example, I can see how many hours out of a day or week are accounted for (like 20 out of 40 weekly hours, or 5 out of 8 daily hours), so I know who’s at capacity and whose workloads are a little lighter.
Pro tip: In this view, you can also adjust each team member’s capacity for any given week!
For those who love to see and organize things in tables – there’s a Table View for that! This essentially mimics a spreadsheet, and we love using this to organize our Instagram content.
For visual learners, Mind Map View is a great way to visualize a project with several tasks and subtasks. This way, you can see how everything is connected, including the hierarchy of projects.
Pro tip: To utilize this view, you need to have living tasks first!
Think of Whiteboard View as your creative playground. This is a great space for brainstorming, creating flow charts, and everything in between!
Instead of juggling tons of Google or Microsoft documents, you can simply use Doc View inside ClickUp! This is where you can add a document (or multiple documents) that are related to a task. At DaSilva Life, we utilize Doc View for SOPs, templates, client management, and team onboarding!
Again, if you’re tired of juggling multiple documents and tools for your business, there’s a View for that! This time, it’s Embed View, which lets you embed specific things into ClickUp.
For example, we embedded a Google Sheet right into ClickUp – and can even edit it in real-time! And yes, it updates in both ClickUp and Google Drive. How amazing is that?!
If you have any submittable forms within your business – like onboarding surveys or job applications – the Form View within ClickUp is your perfect match. You can create forms directly in ClickUp, so you don’t have to juggle or manage other tools. Even better: Once your forms are submitted, all of that data funnels directly into ClickUp!
This final trifecta of ClickUp Views are pretty simple and to the point.
Activity View lets you see the history of different lists and tasks within ClickUp. For example, you can see when someone completes a task, changes the due date or start date, and any other activity that happens within it!
Want to see where everyone’s at? Use Map View! With this, you can use custom fields to mark where your various teammates and clients are. This can be super helpful when scheduling meetings, so you know everyone’s respective timezone!
By now, you’ve likely caught on to the fact that all of the various Views within ClickUp can help eliminate juggling multiple tools. The Chat View is no different! Within this, you can quickly and instantly chat back and forth within ClickUp. We use this to communicate with clients and internally!
Phew! To say there are a lot of views within ClickUp is the understatement of the year. I know first-hand that they can all be overwhelming at first, but once you play around with them and experiment a bit, you should be able to find the views that show you what you need – when you need it.
If you want a more in-depth look at ClickUp Views – and how each of them can help you stay organized and on track – I have an entire module about them inside our ClickUp Course!
Inside, you’ll find an entire module dedicated to ClickUp Views – along with video tutorials for how to set them up, what they’re best used for, and how to customize and filter each, so it works for your specific wants and needs.
