Whether you’re brand-new to ClickUp or a seasoned pro, there’s no denying that there are a lot of capabilities within this powerhouse of a project management tool. But with tons of capabilities comes tons of learning – which can be overwhelming.
Even with the basics of ClickUp down, there is always a lingering feeling that there’s even more you should know. Things like pro tips and tricks that aren’t that easy to learn or know unless someone teaches you.
That’s where we come in to help!
As a Certified ClickUp Pro, I’ve spent countless hours learning the ins and outs of ClickUp. Along the way, I’ve picked up several useful shortcuts and tips that have saved me so much time and energy…and I want the same for you!

ClickUp typically requires you to toggle back and forth between several different tasks. Which, if you’re multitasking, can become pretty annoying. My favorite solution? The ClickUp Task Tray.
Think of your Task Tray as a way to minimize your tasks – almost like you do with different windows and tabs within your web browser. When you minimize your ClickUp tasks in your Task Tray, you can easily open them back up and pick up where you left off at any given time. No more having to jump back and forth or lose your spot every time you have to close out of a task to focus on something else!
If you find yourself constantly opening or navigating to the same items each day, it’s time to utilize your Favorites Bar! With this, you can favorite virtually anything within ClickUp, like:
To populate your Favorites Bar, simply click on the three dots next to any item, then select ‘Add to Favorites.’
From there, your favorites will start to populate within a dropdown on the left-hand side of your ClickUp dashboard. To access your favorites even more quickly, you can pin them to the top of your left-hand menu so you can easily hop back and forth between your most-referenced and most-used items!
ClickUp is the perfect project management tool for seeing all of your projects, tasks, and everything in between at a super granular level. But it’s also nice to see things from a ten-thousand-foot view, so you can see everything you have happening on daily, weekly, and monthly basis. Enter: the calendar view that lets you see everything all at once – including spaces, lists, folders, and tasks!
To set up this view within ClickUp, you’ll want to create a new calendar view. For my personal calendar, I add myself as the assignee. From there, I select the options to show what I want to see on that given day and even include subtasks, tags, and priorities.
Another thing I absolutely love about this view? I can quickly and easily shift things that are assigned to me! When I’m in the ‘Everything View,’ I can easily drag and drop items from one day to the next, knowing everything within ClickUp will update automatically. This way, I don’t have to manually go into tasks or subtasks to update the due date – it’s already done for me!
Pro tip: Once you create this calendar view, add it to your Favorites Bar for easier access!
When you’re in working mode, it’s hard to capture other thoughts that randomly pop into your head throughout the day. Maybe it’s a spark of a creative idea that you want to explore later. Or an ingredient you just thought of for your grocery list. Or even just a few random to-dos that you don’t want to forget about.
But when you’re head down in a project or task in ClickUp, you don’t want to close out of whatever you’re doing just to capture these untimely thoughts. And you definitely don’t want to juggle several different hand-written to-do lists and scribbles in notebooks that aren’t front-and-center when you need them. That’s where the tried-and-true Notepad comes to the rescue!
No matter where you’re at in ClickUp – a task, a calendar view, a dashboard, whatever – you can always access the Notepad through your Shortcuts menu on the bottom right-hand side of ClickUp.
Personally, I use Notepad for any and all kinds of brain-dumping or brainstorming. Anything from lists, ideas, and everything in between – I just quickly access my Notepad from anywhere in ClickUp, brain-dump what I need to, then get back to business! Having this kind of easy access to a digital notepad helps ensure that what I’m actually working on doesn’t get interrupted too much.
Pro tip: If you’re a pro with shortcuts within ClickUp, you can use them inside Notepad, too!
Finally, one of my all-time favorite tips for ClickUp users is the ClickUp Extension for Google Chrome. With this, your ClickUp bubble will show up anywhere you are within Chrome. And in a matter of clicks, you can easily:
