Use ClickUp Workflows to Manage YouTube

Let’s be honest for a sec: Starting a YouTube channel is super intimidating. On the surface, it seems as simple as sitting in front of a camera, talking for a bit, and hitting publish. But when we launched our DaSilva Life YouTube Channel in October 2021, I quickly learned there’s so much more that goes into it.

So, in true Kristi fashion, I went straight to my go-to project management tool for business organization: ClickUp*. I decided that if I can create a Workflow for virtually every other aspect of my business, why couldn’t it work for our YouTube channel? Much to my delight, it does.

To track video statuses

One of the primary ways we use ClickUp Workflows is to track the status of all of our videos. We quickly learned that creating consistent content for YouTube (or anywhere, really) requires juggling a lot of videos at once.

Maybe one’s being written while another is being filmed while another is being edited while another is…you get it. By tracking them all in ClickUp, we always know the exact status of each video – and what needs to happen next. We do that through tracking details like:

  • Where it’s at in the process (To-Do, Review, Complete, etc.)
  • Assignee
  • Due Date
  • Film Date
  • Publish Date
  • Link to where it exists in our storage cloud
  • And more!

Of course, you can add or remove any columns you need to keep you and your team on track!

To keep track of tasks and publishing dates

Because our business has a ton of moving parts, sometimes it’s easier to see all of our videos from a holistic, 20-foot view. That’s where our task calendar and publish calendar come in to save the day.

These calendars are linked directly to our status tracker. Every time we input a task date or publish date, it automatically updates our calendar views. That way, we can see what’s coming down the pipeline on a weekly, monthly, or quarterly basis. This is crucial for strategizing and coordinating all of the other content we publish (like this blog)!

To gather and track video analytics

Part of a successful YouTube strategy entails gathering and learning from data and analytics. Instead of juggling several different tools to compile and analyze all your data, you can do it all right inside ClickUp!

One of our recurring tasks for YouTube videos is inputting all sorts of analytics, like:

  • Views
  • Watch time
  • Watch duration
  • Audience retention
  • Impressions
  • And more!

Pro tip: We always wait 30 days post-publish date to pull analytics for videos. That gives us enough time to get more accurate and consistent data so we can see what’s working, what’s not, and where we need to make adjustments!

To eliminate manual tasks within ClickUp

If you’ve been here a while, you know I’m a huge proponent of eliminating as many manual tasks as possible. Everything from managing our YouTube channel to client onboarding – if there are manual tasks involved, you better believe I’ll use ClickUp to automate them.

For YouTube specifically, I’ve set up custom automations within our status tracker. Every time a task is updated to ‘Publish,’ ClickUp automatically creates tasks for other members of our team to activate their portion of the Workflow. For our team, that includes tasks like gathering analytics (after 30 days, of course), monitoring comments, and keeping our cloud storage files organized.

To delegate additional tasks and manage team members

As I mentioned before, producing content for YouTube requires so much more than creating videos. And it’s those extra tasks that often slip through the cracks when you don’t have a project management tool or process to keep tabs on it all. But not with ClickUp!

Thanks to our YouTube Workflow, I can delegate additional tasks for each video – like adding scripts, SEO content, and Dropbox links through a Zapier integration. By delegating and assigning each task through ClickUp, every member of our team knows exactly what to do and when to do it. How amazing is that?
