Intro to HoneyBook Automations With Examples

September 15, 2023

Hey, there! As of March 2023, HoneyBook has rebranded, which means they are updating a lot of terms and phrases we frequently use throughout our blog posts. That doesn’t change anything below; it just means you’ll see some different terminology from us moving forward. For more details, we have a breakdown of the changes in this blog!

HoneyBook is a powerful CRM that can elevate your entire client experience. And when you combine that with the power of automations? Total game changer for your entire business.

Watch the video below to get a quick intro to HoneyBook* Automations, or keep reading to see all the possibilities. We even have examples of how you can use them to nurture leads and impress new clients – all without you lifting a finger.

What are HoneyBook Automations?

HoneyBook Automations can help eliminate manual tasks within your CRM. Basically, you can automate your entire client journey and keep processes moving along even while you’re logged out.

Now, before you get anxious about giving up total control of everything inside HoneyBook – that doesn’t have to be the cause with automations. You can still proof anything you want before it sends automatically! That way, you can double-check things like emails, brochures, and contracts before sending them off.

How you can use HoneyBook Automations

It’s easiest to think about HoneyBook Automations in two parts: actions and triggers.

First, you can automate several different types of actions you perform within HoneyBook, like:

Even though these actions are automated, you can still personalize everything with client names, unique email signatures, and any other element that gives it a personal touch.

Once you determine the actions you want to automate, you can set triggers for each action. Those triggers can be minutes, hours, days, or weeks before or after something happens, like:

  • An invoice is paid
  • A project ends
  • A contract is signed
  • A questionnaire is submitted
  • A brochure is submitted
  • And anything else!

Again, you can still set these actions and triggers to require your approval before sending – it will simply appear in your tasks list!

Examples of how to use HoneyBook Automations

When it comes to learning the ropes of HoneyBook, it’s often easier to see the features in action instead of reading about them. Here are two examples of how you can use HoneyBook Automations to nurture new leads and clients!

Automate new inquiries

When you’re trying to grow your client list, the last thing you want to do is keep new leads waiting to hear back from you. But it’s also not realistic to stay on top of your inbox 24/7 in fear of letting a potential client slip through the cracks. That’s where automations come in.

In HoneyBook, you can create an automation that responds to new inquiries right away. But not in a robotic, non-personalized way – we can do better than that! Here’s what an automati0on for new inquiries could look like:

  • Someone inquires about your services on your website.
  • You send a personalized email automatically with a link to a Smart File brochure you already have created, along with a link to your scheduler so they can schedule a call.
  • If they don’t schedule a call within a certain amount of time (like a day or two), you can automate follow-up emails to get their attention and onto your calendar!

With this type of automation, you can ensure a new lead never slips through the cracks while still offering a personalized touch. All, of course, without you lifting a finger!

Automate new client bookings

Getting a new client on the books is certainly worth celebrating. But it’s just as crucial to nurture brand-new clients even more than you do new leads. Once again, with HoneyBook Automations, you can impress the heck out of new clients right away. Here’s what a new client booking automation can look like:

  • Your new client signs their contract.
  • You automatically send a personalized welcome email with a Smart Files onboarding questionnaire.
  • If they don’t feel it out within a certain amount of time before your scheduled call, you can automate a quick reminder email.
  • A couple of days and/or hours before your call, you send a reminder email letting your new client know that you’re looking forward to meeting with them.

As a result, your client is incredibly delighted and impressed as heck (and you have everything you need to have a productive and successful first call)!
