How I Cut Down on 8 Meetings Per Day With Loom

If you haven’t heard of Loom, run don’t walk. According to their website, Loom is a “screen-recording tool that helps you get your message across through instantly shareable videos.”

Basically, it’s a tool that lets you problem-solve, delegate, and give feedback in an asynchronous way. No more scheduling meetings to go over edits or to “sync up” on the vision for a new project.

Now, you can talk directly to the little camera on your computer, send a message, and get back to your day.

Seriously, Loom has saved us so much time. And it’s not just a feeling — Loom actually shows you how much time you’ve saved on meetings using their tool. These are our analytics from just a few weeks ago.

Of course, if you’re new to Loom, we want to help you get up and running with this time-saving tech, so below is a quick tutorial.

How to use Loom to cut down on your meetings

Aside from all the time it saves us, we love Loom because it’s so easy to use. All you have to do is go to Loom.com, sign up for a free account, and download the Chrome extension or desktop app.

Note: You can upgrade your Loom account for more storage space and users. It’s very affordable but prices range so make sure to refer to their pricing page here.

From there, you can easily navigate to record a video. Simply open up your Chrome extensions in your browser or open your desktop applications. Personally, we love the desktop app because it’s really easy to find and you can place it in your menu bar.

When you’re ready to record a video, open your extension or your desktop app and select your settings.

You’ll want to decide if you want to share your screen, your screen with the camera (aka your face), or just the camera.

Then, select which part of your screen you want to share.

Generally, we use full screen because it captures the entire screen — but many people choose to go by window so they’re only sharing one browser or one document at a time.

Next, make sure to have your recording settings right. Connect to the proper camera and microphone so the video and audio are on point.

And now… you’re ready to record!

Now, let’s get into Loom’s numerous applications — and how you can use it to cut down on your meetings. Something we can all get behind, right?

Loom for SOPs

Loom is our go-to tool for SOPs (standard operating procedures). Because so much of an SOP involves showing someone the steps, it really helps to have a screen share tool.

Rather than writing out, “Navigate to the top right of your screen, click the menu, and navigate to Settings,” you can show someone what you’re doing and narrate each step.

The really cool thing about using Loom like this? They actually have a transcription tool, which means, you can turn your SOP video into a written document in virtually no time.

We use Looms for team and client SOPs — so that everyone has what they need when they need it.

For example, we have an SOP library inside our ClickUp workspace, and we have a marketing section. Inside our marketing SOPs, we have a clear SOP on how to draft Blog Posts in Webflow.

The task description has a link and anyone on our team can click that Loom, watch the SOP, and feel confident drafting Blogs.

Pro tip: Build an SOP library in ClickUp

Don’t just create Loom SOPs and have them disappear into your video library. Create a library of SOPs, organized by department or function.

Then, you can create an automation that generates the SOP link right in a ClickUp task, so the team can refer to the SOP without needing to search for it in ClickUp or in your Loom library.

This saves everyone on our team so much time and is so handy when it comes time to update an SOP. No digging to find it!

Loom for Feedback

This is one of my favorite ways to use Loom: for feedback. Let’s say you just got a graphic back from your graphic designer. While you like it, there’s something off. You’re not the best at describing what you see with words, so you spend about a minute just walking them through the things that feel off.

You give your designer feedback in a visual way, so they can see which parts of the design were sticking for you, and the feedback is off your plate. The graphic didn’t stall for a week because you couldn’t find the right words — that’s a win-win.

We also use Loom for feedback on things like website design, copy reviews, project setups, and even troubleshooting workspaces inside our Systems School membership. It’s great if you have a quick question and want someone to be able to answer it visually.

If you struggle to express your vision for something, or if writing is just not the best way to get your point across, Loom is going to be your new BFF.

Loom for client walkthroughs

When you’ve finished your work with a client, how do you hand everything off? Often, clients get a bundle of assets but then get distracted by all the other things they have to do.

It’s easy to forget where things are, how to use something, or what’s needed to officially wrap things up. Loom lets you actually walk through things with your client in a way that shows them what to do — and gives them something to refer back to.

Rather than trying to rewatch an hour-long Zoom recording where you might have mentioned that one thing they need to do, they can go to the Loom and get an immediate reminder of everything going on.

For example, when we finish a HoneyBook build, we deliver their final assets along with a Loom. Inside the Loom, we do a walk-through so they know what they’re seeing, where everything is, how to use their assets, and what we need from them.

Loom for onboarding videos

When you’re onboarding a new client, do you have a kickoff call? Do you find yourself answering questions about where things are or what a client needs to do after that call? Loom can help with that.

It’s also a great tool to provide resources that empower clients to make the most of their time with you — so they know what to do, where to go, and how to communicate.

For example, for each of our HoneyBook or ClickUp build clients, we have a Loom video embedded right on their client dashboard. They can see their project walk-through right there and it shows them everything they need to know about how to navigate their project.

This video is also linked in their welcome email, so we can make 100% sure they saw it. This has saved us so much time — and is such a great thing for so many businesses.

Just think about how much time could be saved if clients didn’t have to ask where something is, how to view their project, or what they need to do! That’s the magic of Loom.

Plus, it’s a great way to resolve questions. You can actually type comments in a video at the exact moment when you have a question or an answer.

This allows for asynchronous conversations, and for you to be notified if a client has a question that the Loom (or your onboarding process) didn’t address.

Loom for courses & template walkthroughs

All of our course videos are recorded through Loom. It’s made our lives (and our student’s lives) so easy. We also include a template walk-through for all of our ClickUp templates. This makes it super easy for us to demonstrate where to download the template, how to start customizing it, etc.

We also use Loom to record our YouTube videos! Yes, really. While we record the intros and outros on an actual DSLR camera, we do a lot of the “teaching” portions via Loom so we can share our screens.

Loom for team delegation

Beyond SOPs and the tasks that our team has to remember how to do again and again, we use Loom for a lot of team delegation.

For example, we record Looms to help our content team create things like… well, this blog. We actually used Loom to share ideas for this blog — meta, right? We also use Loom for things like design guidance, tech troubleshooting, and so on within the team so we can all “see” what’s happening on our screens.

Loom really makes being a fully remote team so much easier, and it cuts down on a lot of scheduled meeting time (and the wasted time before the meeting can happen).
