ClickUp for Team Management

September 15, 2023

It’s no secret that managing your own business can be really stressful. But managing a team on top of that? Even more so. And that doesn’t even include all the work it takes to hire, onboard, and train new team members.

But if your business and processes are disorganized? It can make team management that much harder. Half-built processes, disorganized notes, juggling dozens of folders and documents, piece-mealed trainings…you get where I’m going with this. And even if all of this doesn’t feel like a hurdle for you now, it could end up costing you more in the long run due to:

  • More time, money, and energy spent trying to hire and onboard
  • Negative experiences for new employees
  • Inconsistent training and expectations across team members
  • Lack of clear career growth
  • Lost clients who are frustrated by a lack of consistency

That’s why we’ve created a brand-new Team Management Bundle that has all the essentials (AKA: systems) you need to manage and grow your team now and in the future. Check out the video below where I walk through all the details, or read on below!

Why you need systems for better team management

Systems are designed to work for you – not to create more work for you. So when you have really smart systems in place, everything becomes that much more streamlined and efficient. That’s because they are doing the work instead of you.

When it comes to team management specifically, think of all the time, money, and frustration you can save. Take team onboarding, for example. If all of your team onboarding materials are in one place, easily accessible, and ready to go, that’s less managing you have to do. No more scrambling to find training materials or spending hours walking new hires through everything. You get more time back, and your new hires get to experience a thorough, consistent training process. It’s a win-win!

How to ensure your systems can support team growth

It’s so important to think about how you can grow a team and focus on the areas of your business that need to be systematized or documented so that a new hire or a manager can effectively do their job. Think about it like this: If you just slap up a job listing and don’t have a process for filtering through the job listings, are you going to hire someone in a timely fashion?

No!

So, let’s think through the three areas of team growth: hiring, onboarding, and management.

Hiring systems and processes

It’s important to have a system or at least clear steps when you start hiring. You’ll need steps for creating your job listing, posting it, managing applications (preferrably in one place where you can easily view and sort them!), and how to track who gets an interview, who is a great candidate, and so forth.

When you have a process for this, it will go much faster and you’ll have a better understanding of what you need to actually extend someone an offer.

Onboarding team members smoothly

Let’s say you extend an offer to someone who applied to your job posting — awesome! But then they have nothing to do on their first day and they’re wondering when the tasks will come in, what the process is for sending over documents, or they’re not even sure how they get paid. Yikes.

Make sure you have a clear onboarding process for new employees or contractors, including any steps they need to take to get integrated into your team (i.e. setting up an email, logging into accounts, checking communications, etc.) and what they need to do their job well. This includes SOPs, or standard operating procedures. Not only will this tell them how to do their job, but it’ll cut down on your management time in a big way.

Managing teams with less “management”

You didn’t start your business to be a manager, I’m betting. So when it comes to growing a team, think about the systems or tools you can implement that make it easy for you to step back and let people do their jobs. I think this starts with setting clear and tangible goals for your new hire, like the number of accounts closed, sales made, ads clicked, etc. It all depends on the job you’re hiring for and what your team member’s job description was!

It also helps to create a scorecard or some way to track tangible metrics so you can easily see if you need to step in and support your team member (or if they’re maybe not the right person for the job).

How our Team Management Bundle can help

I know that might sound like a LOT of work for someone who is looking to outsource more work (hello, it’s why you’re hiring!). I have good news for you, though.
