How to Master Client Management with ClickUp

We’ll just say it right out of the gate: Client management is crucial for keeping your business organized. Beyond that, though, client management is all about enhancing your clients’ experiences.

From onboarding and project execution to emails and meetings, having everything client-related in one place will ensure nothing slips through the cracks (and it will impress the heck out of your clients).

Step 1: Group clients by project-based or retainer-based

For many businesses, it’s normal to juggle several different types of clients, like project-based or retainer-based. Grouping your clients in ClickUp this way will make managing tasks, projects, and files much easier. That’s because each client type has different ebbs and flows.

Project-based clients will have entire workflows of tasks to execute each deliverable, while retainer-based clients may have one-off or recurring tasks that are easily lost in between everything else. By separating them, you’ll be able to stay on top of all client tasks, no matter what they are or when they occur.

Step 2: Create client dashboards to help them (and you!)

Client dashboards are another genius feature of ClickUp that can eliminate so much manual work for your clients – and you. Instead of juggling long email chains, messages, meetings, and phone calls, you can manage everything right inside ClickUp. All your clients have to do is log in to their unique dashboard, and from there they can:

  • Input onboarding information
  • Upload files
  • Review and approve deliverables
  • And so much more!

Step 3: Keep an up-to-date client database

It’s hard enough keeping track of your daily to-do lists, let alone an entire client list. With ClickUp, you can create an all-encompassing database that houses all your clients. To take that even further, you can update the status of each client – onboarding, active, past client, etc. – so you always have a holistic view of your clients at any given time.

Within your client database, you can also house all of your client processes. That way, you’re not re-inventing the wheel every-time you bring on a new client – everything is already there for you!

Step 4: Create and organize client task lists

When you’re working with clients, sometimes there’s tasks and to-dos that you don’t want them to see. For us, that typically looks like a basic checklist to help build and maintain strong relationships with our clients. Inside ClickUp, we have separate client tasks lists that house things like:

  • Birthday and holiday reminders
  • Testimonial forms
  • Happiness surveys
  • Anything else we want to stay on top of
