Just like our Team Meeting Management ClickUp template [link to June 2024 - Week 4 blog when live], the main star of this template is how we’ve used custom task types. In ClickUp you can create custom task types for any work that you do. Here, we’ve set up custom task types for out-of-office periods.
Every out-of-office, whether it’s a holiday, PTO, sick time, or leave, will show on your calendar or dashboard with a special icon. And each type of out-of-office is denoted by a specific color, so you’ll know if a national holiday is coming up or when a team member won’t be in.
With our template, you’ll also get multiple custom views to look at your team’s out-of-office.
The Holidays View shows you a list of upcoming holidays to be aware of. Likewise, the Employee OOO View shows you who is off and which days. Finally, there’s the Master View, where you’ll see all your out-of-office periods sorted into lists:

We’ve also included a Company PTO Dashboard walkthrough for a different, more data-driven view of everyone’s out-of-office. You still get a list of upcoming holidays and OOO, but you can also see the total number of time off requests approved and denied, remaining holidays, used and unused PTO, and more.
Without a process in place, time off requests can get messy. Or lost. Our ClickUp template takes care of that by including a time off request form and automations.
Here’s how it works. Your team member fills out this form with all the necessary info, like their name, OOO dates, and OOO type (vacation, maternity leave, sick time, personal day, holiday).
When they submit their completed form, a task is created for their manager to review their request. Once their manager reviews it and approves it, they’ll move it to “Approved: Upcoming OOO.” ClickUp Teams will then add the task to everyone on the team so that it shows up on everyone’s calendar.
Oh, and one more thing: this integrates with your Google Calendar, too! We find this really helpful when planning meetings and resourcing so we don’t have to jump back and forth between Google and ClickUp.
