Organization + Systems

Ready to Get Your Business Organized? Start Here.

September 15, 2023

As your business grows, it gets harder and harder to keep up with everything. Your days are no longer filled with creating and strategizing — they are instead spent answering emails, juggling dozens of deadlines, writing an endless to-do list, and...never checking tasks off that list. If only you had more time, right?

Even more frustrating than that, though, is feeling like that’s how it should be. That you have to hustle and grind and work long hours all the time to get everything done. That it’s the norm for business owners who are trying to achieve their goals and keep everything afloat. But we’re here to tell you: It’s not normal. Your business just likely needs some organization!

Here are some of the most common signs it’s time to get your business organized:

  • Tasks are falling through the cracks
  • You know there’s a faster way to do things, but you don’t have time to find the solution
  • Your processes aren’t consistent
  • You don’t know where anything “lives”
  • You’re creating everything from scratch (emails, templates, copy, etc.)
  • You’re the go-to person for all client questions and needs
  • You spend most of your time answering emails vs. doing actual business work
  • You’re consistently bringing in new clients
  • You’re growing your team

Does any of that sound familiar? You’re definitely not alone! But when it comes to organizing your business, where do you even start?

Because we know first-hand how overwhelming it can feel, we’ve put together the top things you can do now to get your business organized and get back on track!

Declutter Your Project Management Tool

Even if you have a project management tool like ClickUp, Asana, Trello, etc., it may not be functioning in a way that sets you up for success. Utilize any free training the company offers and even consider setting up a 1:1 training or demo to learn how to use all the features. In the meantime, declutter your tool by organizing everything into clear categories (or by client!) and placing individual tasks where they belong.

If you don’t have a project management tool yet, it’s typically the best place to start when you’re organizing your business. We can even help you set one up!

Automate Processes and Tasks in Your CRM

Just like your project management tool, your CRM also needs to make things easier, not create more work. Your CRM can be utilized for virtually every part of your business — everything from the initial discovery calls with clients all the way to off-boarding. Make sure you’re automating as many tasks as you can, like emails, scheduling meetings, workflows, and so much more!

Psst! We can also help you navigate HoneyBook (our ultimate go-to CRM) and even set up personalized workflows to get you started.

Get Down to Inbox Zero

Digging out of your inbox every day takes up a lot of time — time you would probably like to spend working on something else (or taking a break)! Even if you can’t get down to inbox zero every day, you can make your day-to-day so much easier by creating labels and filters to organize your emails. You can even create ‘canned’ emails, which are templated responses to questions or requests you receive every day. You’ll be amazed at how much time these small changes will save you!

Organize Your Files

Contracts, pricing guides, templates — there is nothing worse than searching for a file you know you put somewhere… but you just don’t know where that somewhere is. Our challenge for you: Schedule 45 minutes to create categorized folders for all of your documents. Once everything is in a good place, take 10-15 minutes each week to clean up any new downloads or documents you’ve accumulated in the past few days!

Create a Content Plan for Social Media

Taking time out of your day to come up with an on-the-spot Instagram post keeps you from tackling everything else that’s on your to-do list. It’s also not an effective way to scale your business. But with a content plan in place, you can write and schedule your social posts weeks in advance, so you don’t even have to worry about it. If you think that will take a long time, we have a handful of tips for creating six weeks of social media content in just one hour (yes, really!).
