How to Use ClickUp as a Simple CRM (+ A New Template!)

If you’re not quite ready to commit to a full-time CRM (client relationship management tool), there are other creative workarounds to try. Our suggestion? Instead of juggling a bunch of different tools, you can build a space inside ClickUp that acts as your CRM or leads pipeline!

To be clear: ClickUp is not a CRM – it’s a project management tool. (Psst! If you need a refresher on each, here are the differences between CRMs and project management tools.) As a result, it doesn’t have a lot of the capabilities you might expect from a CRM, like:

  • Contracts
  • Invoices
  • Schedulers
  • Smart Files (this is for HoneyBook* specifically, which is our go-to CRM!)
  • And more

However, ClickUp is still a super robust tool you can leverage as your CRM until you’re ready to go all-in on one, like HoneyBook.

Organizing your leads and inquiries

Starting with a basic tasks list inside ClickUp, you can easily build it out to look like a pipeline that organizes all your leads and inquiries.

Instead of typical ‘statuses’ for tasks, you can add custom statuses that are more aligned to a pipeline, like:

  • Connecting with
  • Inquired
  • Send scheduler
  • Send proposal
  • Booked
  • Lost lead
  • Not a good fit

Once you create your statuses, you can change the name of each task to be a client name or business.

From there, you can create as many custom fields as you want to house all the information about that client or lead. Think about everything you want or need to know about these leads, then create a custom field to match. We include information like:

  • Last contact/touchpoint
  • Email address
  • Instagram handle
  • Website
  • Services interested in
  • Channel they reached out on

Moving new leads through the pipeline (with automations!)

Next, think about your ideal client journey. What do you or your team members need to do to keep moving your lead through the pipeline?

Map out all of those tasks – and what order they should be in – so you can automate the process! For us, some of those next steps look like:

  • Sending our scheduler
  • Following up via email
  • Sending a lead capture form (clients fill this out, then it’s fed directly into your leads pipeline!)

So, once the status of a new lead changes, it automatically prompts one of our team members to take that next step, so nothing (and no one) falls through the cracks!

Housing and organizing all client information

In addition to our leads pipeline, we also leveraged different features of ClickUp – including Zapier integrations – to house and organize all of our client information. For us, that looks like:

  • A calendar with all of our scheduled sales calls
  • A space for taking notes (so they don’t get lost elsewhere)
  • Canned email templates for quick follow-ups
  • Inquiry form* that we can send a link to or embed right on our website

*Our inquiry form was built inside HoneyBook using Smart Files. We used a Zapier integration to pull the inquiry form inside ClickUp, so it’s right next to our leads pipeline and everything else we just outlined above!
