Getting Your Business Organized for the New Year

With 2022 right around the corner (seriously, how did that happen?!), you probably have your sights set on some big goals in the new year. But before any of those can happen, you need to get everything more tidy and organized. Sound like you?

Then now is the perfect time to get started, so you can hit the ground running after the holidays. How, exactly?

Here’s a quick rundown of what to organize before 2022!

Your inbox

How’s your inbox looking these days? Does it seem to be a constant source of stress? If so, we want you to really focus on organizing it.

Go through what you can and categorize folders. Whether you create categories by clients, ‘tasks to do this week,’ or ‘needs a response,’ quickly drop emails into their respective folders.

After that, archive everything. Trust us on this one. You’ll feel so great getting down to Inbox Zero. Plus, you can always find whatever else you may need later.

Client or customer management

Think about your onboarding process this past year with new clients or customers. Did it go smoothly? Or did things feel a little rocky and disorganized? If you answered the latter, don’t feel bad. Tons of business owners struggle in this area. However, this is when you should consider setting up a CRM for 2022.

If you’re not familiar with CRM, it stands for customer relationship management. It’s a tool you can use to:

  • Schedule calls and meetings
  • Track leads
  • Book + onboard new clients
  • Send contracts and invoices automatically
  • Create automated workflows + email sequences
  • Track project statuses

Project management

When it comes to your client or personal projects, do you know what you’re working on at any given time? Or do you feel like you’re constantly playing catch-up and letting things slip through the cracks? If you’re in the second camp on this one, it’s time for a project management (PM) tool.

Thankfully, project management is pretty simple: It’s a system/tool you use to manage and track your projects — and all the moving parts within each project. With a PM tool like ClickUp* (our personal choice), you can map out entire projects for clients, including all the steps needed to complete them successfully. Then, you can set start dates and due dates, so you know exactly what needs to be done and when it needs to be done.

Also in ClickUp, you can create dashboards for more than just your client work — you can also use them for things like finances, marketing metrics, and so much more. We even have a free ClickUp 101 guide to help you get started!

Calendar management

As the CEO of your business, you’re busy. Most days, there’s so much going on that it can be incredibly hard to find time to organize your business when you’re just trying to get by. That’s why we recommend organizing your calendar.

The first step in this? Setting boundaries! And using your scheduling tool — like HoneyBook or Acuity — to help.

Schedule hours during which others can schedule calls, and keep all other hours off-limits. To keep from getting overwhelmed, you can limit the number of calls that can be scheduled in a day. You can also schedule ‘CEO days’ where you only work on your business instead of in it. Some other automated time blocks you can create might include:

  • Sorting + answering emails
  • Client-only days/hours
  • Discovery calls days/hours
  • No-calls days/hours

With an organized and structured calendar, you’ll always know what you’re working on when! And, more importantly, your time and energy will be protected. The magic of boundaries!

Time tracking

If you don’t know where your time goes, it’s that much harder to be organized. That’s why we always recommend time tracking. In the beginning, time tracking will help you figure out where your time (or your teams’ time) goes. As a result, you can determine:

  • What tasks take up the most time
  • Where you lack efficiency
  • What needs to be delegated
  • Where you need to set more boundaries
  • What’s in your zone of genius
  • And so much more!

Final thoughts before the new year

It’s no secret that 2021 has been a trying year for all of us, and it might feel like you have a lot of stuff to tackle to get organized for the new year. But that’s why you’re starting now, right?
