When we do a custom ClickUp build for a client, it’s usually for that client’s team…not the CEO and other executives. Why? A project management tool like ClickUp is going to be used most often by team members everyday! Your project managers, designers, writers, account managers, and so on. A CEO may login to ClickUp a few times a week, at most.
That’s what we see agencies struggle with. How do you build a system that works well for your team on the daily and gives your C-suite insight into the company?
You build a “C-suite proof” system that’s clear and efficient for the entire team. Everyone doing technical or client-facing work has what they need. So do the CEO and other execs whenever they need it. Read on below to see how we do it!
ClickUp’s custom dashboards are a gamechanger for agencies and a must for building a C-suite proof system!
If you haven’t customized one before, think of it as a mission control center. Your dashboard compiles all the information you need, whether it’s in ClickUp or outside of it. Which means you can customize dashboards for different team members in your agency.
Let’s use a team manager as an example. For their ClickUp dashboard, you might add widgets and links like:
With this data all in one place — a ClickUp dashboard — your manager won’t waste time pulling together that information on their own. They won’t have to bother anyone else for it, either!
To build a C-suite proof system, of course, you’d want a unique C-suite dashboard. You could add data such as:
What you include on a C-suite dashboard is up to your CEO and other execs; just be sure to customize it according to the information they want to know.
Not everyone on your team needs the same level of permissions in ClickUp. In fact, giving someone the appropriate access can help keep things organized and prevent overwhelm. You can assign the following roles to people in your ClickUp Workspace:
A Guest has access to specific Workspace items only. For example, we added our YouTube editor to our YouTube workflow in ClickUp only, because that’s all the information they need to get their job done! A Member has more permissions, an Admin has even more, and so on.
The CEO should always hold the “Owner” role within your system to ensure they have full control, ultimate decision-making authority, and access to all aspects of the business. For other C-suite members like the COO and Managers, assigning high-level permissions or custom roles is more effective. This approach grants them the authority to oversee operations and manage workflows without overwhelming them with unnecessary administrative controls. Limiting their roles to “Member” with elevated permissions can help maintain focus on efficiency and prevent information overload, ensuring they stay aligned with operational success rather than system administration.
We’ve talked about the ClickUp Hierarchy before. It may seem like a basic feature, but it’s incredibly important. The Hierarchy helps you sort and organize your Workspace. It can be by department, team, project, whatever category you like.
Here’s what it looks like from largest to smallest:
Similar to ClickUp’s permissions and roles, the Hierarchy allows users to see the information that’s relevant to them only. A department working in one Space doesn’t need access to everything in a different department’s Space.
The C-suite may have access to the entire Workspace, but thanks to the custom dashboard that we talked about, they only see what’s most important to them. No information overload!
Building a C-suite proof process with ClickUp is all about organization and purpose. Look at what information and level of access your agency members need, from contractors all the way to the top level execs. Structure your ClickUp based on that, and you’re golden. ClickUp makes it easy with features like roles, dashboards, and Hierarchy!
What if you don’t have time to structure or restructure your ClickUp, though? We can customize it for you!
